Mason AI Agent
Terms of Use
Mason AI Agent and Board Invoice Archive are private board-support tools. These terms describe the boundaries of authorized use of both services, including the separate Board Invoice Uploader.
Effective September 17, 2026
1. Acceptance and eligibility
Both services are available only to condominium board members and other individuals expressly authorized by the system operator. By using either service, you agree to these terms and the Privacy Policy. If your board role or authorization ends, you must stop using the services.
2. Intended purpose
Mason may help locate board records, organize project evidence, identify follow-ups, summarize material, and prepare suggested communications. Use is limited to legitimate condominium-board business involving records the board is authorized to access.
Board Invoice Archive collects Buildium invoice attachments and preserves
originals in a board-selected Google Drive folder, with transaction links
for review. Its separate drive.file authorization does not
expand Mason’s read-only Google access. The uploader creates and verifies
archive records; it does not change sharing, delete, arbitrarily move, or
overwrite originals. The board is responsible for folder sharing and records
retention. Archiving an invoice does not approve a charge or initiate payment.
3. Human review is required
Mason may make mistakes, omit context, or misunderstand documents. Its output is informational and must be checked against cited source material before the board relies on it. Suggested communications require board review. Mason cannot send or draft Gmail; separately authorized delivery through Sender is limited to approved recipients, including expressly enabled scheduled reports.
An attachment may support a journal containing multiple postings; it does not establish a separate invoice amount for each posting. Unresolved or suggested invoice-to-ledger matches are not verified accounting relationships. The board must reconcile missing, revised, or ambiguous evidence.
Mason does not provide legal, accounting, engineering, insurance, or other professional advice. The board should consult an appropriate professional when a decision carries material legal, safety, financial, or structural consequences.
4. Authorized conduct
You agree not to:
- Share access with an unauthorized person or use another board member’s identity.
- Use Mason or board records for personal, commercial, discriminatory, unlawful, or harassing purposes.
- Attempt to bypass either service’s access controls, access secrets, alter its configuration, or expand its permissions.
- Enter instructions intended to conceal evidence, misrepresent a source, or cause unauthorized disclosure.
- Treat Mason’s output as an official board act without the approval required by the board’s normal procedures.
5. Third-party services
The services depend on Google, Buildium, OpenAI, Telegram, Sender and its email delivery infrastructure, DreamHost, and privately operated infrastructure. Their availability, security, and terms may affect these tools. Google data is handled as described in the Privacy Policy and in accordance with Google’s applicable API policies.
6. Availability and changes
Both services are provided for the board’s convenience and may be suspended, changed, or discontinued for maintenance, security, cost, provider changes, or board direction. There is no guarantee of uninterrupted operation or preservation of Mason’s local cache. Gmail and Google Drive remain the board’s sources of truth.
Invoice collection, upload, and searchable text extraction can complete at different times or fail independently. The archive is not a guarantee of complete Buildium records or a substitute for reconciliation and backups. Disabling the uploader or revoking its authorization does not remove archived Drive originals; retention is described in the Privacy Policy.
7. Responsibility
To the extent permitted by law, both services are provided “as is” without warranties of accuracy, fitness, or uninterrupted availability. Board members remain responsible for decisions, communications, records management, and compliance with governing documents and applicable law.
